GS1 Standards for Product Data: What They Cover and What They Do Not

A GTIN identifies your product. It does not describe it. We watch suppliers discover that difference every year, usually the week a retail customer accepts the barcode and then rejects the listing. GS1 standards are excellent at the job they were built for. Selling the product is not that job.

This piece covers what GS1 standards actually cover and what GS1 UK membership buys you. Then how far GDSN goes, and the gap that opens on the other side.

What GS1 standards actually cover

GS1 groups its work into three families, and the grouping is genuinely useful for working out where a problem sits.

Read that table again and notice the shape of it. Identify, capture, share. Every one of those verbs is about the number and its movement. None of them is about the content of the product record.

That is not a criticism. It is the scope GS1 chose, and it is why the standards have survived for fifty years while everything around them changed.

GTIN, EAN and UPC: the identification layer

The most common confusion we meet in supplier data is people treating EAN, UPC and GTIN as three competing systems. They are not. GTIN is the umbrella, and the others are formats of it.

There are four GTIN formats, and the digit count is the difference:

Inside the number sits a GS1 company prefix issued to your business, plus an item reference you allocate yourself. The last digit is a check digit, calculated by a modulo 10 formula. On a GTIN-14 the leading indicator digit signals the packaging level, although in practice there is no global agreement on which digit means which level. We have seen two suppliers use the same indicator for completely different pack configurations in the same category.

Worth separating clearly: a GTIN is issued through GS1, and an MPN is the manufacturer’s own part number with no governing body behind it. Marketplaces want both. They are not interchangeable, and treating them as one field in a PIM causes a specific, painful class of matching failure later.

GS1 UK: what membership actually buys

For UK businesses, GS1 UK is the licensing body. Two facts about it surprise people repeatedly.

First, you do not own your GTINs. GS1 UK is explicit that numbers are licensed to you annually as part of membership. Stop paying, and the licence lapses. Any assumption that a barcode is a permanent asset on your balance sheet is wrong.

Second, the fee is based on your company turnover rather than on how many numbers you use. At the time of writing, GS1 UK publishes annual membership from £50 for businesses turning over under £100,000. The top tier is £4,250 for businesses above £1 billion. All figures exclude VAT, and each tier includes an allocation of GTINs. So a small manufacturer with 4,000 SKUs and a large distributor with 400 own-brand lines pay wildly different amounts. For what looks like the same thing.

Membership also gives access to GS1 UK’s number management tooling and their data services. What it does not give you is a product record. You get numbers, a place to register them, and the right to use them. Everything a customer will actually read is still yours to produce.

GDSN, GPC and the Global Data Model

This is where GS1 does step into product data, and where the scope question gets more interesting.

The Global Data Synchronisation Network is the mechanism. A supplier loads product data into a certified data pool. That pool synchronises with the GS1 Global Registry. Subscribing trading partners then receive the data automatically. In the UK, GS1 UK runs its own certified data pool under the TrueSource name.

Two standards sit underneath it:

GPC, the Global Product Classification. A hierarchy of segment, family, class and brick, with brick attributes and defined attribute values underneath. Unlike UNSPSC, GPC does carry attributes. It is published twice a year, in May and November.

The GS1 Global Data Model. This defines the foundational attributes needed to list, order, store, move and sell a product. It is layered: a global core that applies everywhere, global category attributes, regional category attributes, and country specific attributes usually driven by local regulation.

If you sell packaged consumer goods into grocery, this machinery works well. Net content, allergen statements, storage temperature, packaging dimensions, nutritional values. That is exactly the shape of data GDSN and the Global Data Model were designed to carry.

Where GS1 standards stop and product data work starts

Here is the part GS1’s own material will not tell you, because it is outside their remit.

A GTIN answers “which product”, not “what is it”

A GTIN is a pointer. It resolves ambiguity between two similar items in a purchase order. It carries no meaning about the item itself.

We regularly receive supplier files with a perfect GTIN column, a fifty character description, and nothing else. Every identifier is valid. Every record is unsellable. Nobody buys a bearing because it has a valid check digit.

GDSN is shaped for grocery, not for industrial catalogues

The Global Data Model covers consumer product categories: food, cosmetics, toiletries and their neighbours. It does not carry the technical attribute sets that a B2B catalogue lives on.

There is no GDM attribute for thread pitch, ingress protection rating, torque range, cable core count or vehicle fitment. For a fastener distributor or an electrical wholesaler, the attributes that drive every faceted search on the site sit entirely outside the standard. That is why ETIM, eCl@ss and other classification standards exist alongside GS1 rather than inside it.

GPC bricks do not match how you merchandise

GPC bricks are built for data pool exchange between manufacturers and grocery retailers. They are not built to be your website navigation.

Every time we have seen a team merchandise directly off GPC, the result is the same. A category tree that makes sense to a data analyst and no sense to a buyer. Classification for exchange and classification for selling are two different structures. You need both, mapped to each other, held in one governed taxonomy and attribution model.

Supplier GTINs arrive missing, duplicated and reused

In theory every GTIN is unique and permanent. In practice, supplier feeds contain blanks and the same GTIN on two different products. They contain GTINs reused after a line was discontinued. They contain GTIN-13 values stored in a field that strips leading zeros.

We build GTIN validation into supplier onboarding as standard now. Check digit validation, duplicate detection across the catalogue, and format checks before anything reaches the PIM. Catching it at ingest costs minutes. Catching it after a marketplace suspension costs weeks.

GS1 gives you identifiers, and no content at all

No titles. No descriptions. No feature bullets. No images. No documents, safety data sheets or installation guides. No SEO copy.

Everything that makes a product page convert has to be created, structured, translated and maintained by you. That is the whole of product content enrichment, and it is the largest single cost in most catalogue programmes we run. GS1 does not touch it.

What 2D barcodes and Digital Link change

The Sunrise 2027 initiative is moving retail towards 2D barcodes such as QR codes powered by GS1, alongside or instead of the traditional linear barcode. Retailers upgrade scanners, brands add 2D codes carrying the GTIN plus extra data such as batch or expiry.

GS1 Digital Link is the standard that turns the identifier into a web address. Scan the code, a resolver decides where to send you, and the shopper or engineer lands on product information.

Read that carefully, because it changes the economics of everything above. Sunrise 2027 does not close the content gap. It puts a public front door on it. Picture a QR code that resolves to a page with three attributes, a stock photo and no documentation. That is a worse outcome than no QR code at all. The same logic applies to the digital product passport work now landing on manufacturers. Both assume there is complete, structured, current data waiting on the other side of the scan.

Closing the gap

The sequence that works, in the order it works in:

  1. Get the identifiers clean first. Valid GTINs, no duplicates, correct format, MPN in its own field. This is genuinely GS1 territory and it is cheap to fix at the start.
  2. Decide which classification serves which job. GPC for data pool exchange, ETIM or eCl@ss for technical attributes, your own tree for merchandising. Do not try to make one do all three.
  3. Build the attribute schema per node, not per catalogue. A single flat attribute list across 900 categories is the 200 column spreadsheet in a different costume.
  4. Fix supplier intake before you fix the back catalogue. Otherwise you clean 60,000 records while 4,000 new bad ones arrive each month.
  5. Then enrich. Copy, images, documents, translations. Last, because everything above determines what good looks like.

Most businesses we meet have done step one and skipped to step five.

The gap between holding a GTIN and having sellable product data is where the actual work lives. It is attribute schemas, classification mapping, supplier intake rules and enrichment, and it is the part nobody hands you a standard for.
